How to fax a Word document
Letters, contracts, medical forms and authorization letters are often written in Microsoft Word, and many of them still need to be faxed. You do not need to print the document and feed it into a fax machine. This fax-from-computer.com guide takes a Word file from draft to delivered fax, covering formatting, signing, exporting and sending.
Get Started NowFormat the document for fax
Fax pages are black and white and lower resolution than your screen, so a document that looks good in Word can come out hard to read. Spend two minutes on these before you export.
Use Print Preview, under File and then Print, to see how each page breaks before you export. Headings stranded at the bottom of a page or a signature block pushed onto its own page are easy to fix in Word with a page break.
- Use a clear font such as Calibri, Arial or Times New Roman at 11 points or larger
- Change colored text, shading and highlighting to plain black
- Keep logos simple; detailed color images turn into grey blocks
- Set the paper size to Letter under Layout, then Size
- Accept or reject tracked changes and delete comments under the Review tab
- Add page numbers in the footer so the recipient knows nothing is missing
Add a signature
If the document needs a signature, the simplest method is to sign a sheet of white paper, scan or photograph it, crop it tightly and insert it with Insert, then Pictures. Set the picture's text wrapping to In Front of Text so you can place it on the signature line.
Some recipients require an original wet signature. If so, print the page, sign it, scan it and fax the scan. The fax service this site recommends does not include an e-signature tool, so the signature must be in the document before you upload.
Export the document to PDF
- In Word for Windows, choose File, then Save As, and set the file type to PDF. Or use File, then Export, then Create PDF/XPS.
- In Word for Mac, choose File, then Save As, and set File Format to PDF.
- In Word on the web, choose File, then Download, then Download as PDF.
- Open the PDF and check the layout, signature position and page count.
Build a reusable fax letter template
If you fax similar letters often, save a Word template with your letterhead, a clear 11-point font, black text, page numbers and a signature block already set up. Choose File, then Save As, and pick Word Template as the file type.
Each time, start from the template, fill in the details, export to PDF and send. Combined with a saved cover page template in your fax account, you can go from blank page to sent fax in a few minutes and every fax looks consistent to the people who receive it.
Fax it from your browser
fax-from-computer.com recommends FaxToFax.com, which accepts PDF, PNG and JPG files, not .docx, which is why you export first.
- Open FaxToFax.com in any browser and sign in with your email and one-time code.
- Start a new fax and upload the PDF.
- Add a cover page with the recipient, subject and total pages. Save it as a template if you fax often.
- Enter the fax number, confirm it, and send now or schedule it.
- Check for Delivered and keep the time-stamped receipt.
How to Fax a Word Document: questions
Can I upload a .docx file directly?
No. Convert it to PDF first with Save As or Export in Word. PNG and JPG images are also accepted.
Can I write the letter in the fax service instead of Word?
Yes. You can compose a page in the editor on your letterhead and send it without using Word at all.
My Word table is cut off in the PDF. What happened?
The table is wider than the page margins. In Word, use AutoFit, then AutoFit Window, or switch that page to landscape before exporting.
How many pages does a Word letter use?
Each faxed page, including the cover page, counts toward your plan. A two-page letter with a cover page uses three pages to a US number.
